Email is a very important communication tool. You use it for personal correspondence with your family and friends but most importantly, you use it for work correspondence with your team for projects and other business-related deals. So it is not a good feeling when you suddenly get email-related errors.

When you are getting Outlook errors in your Mac, these could be caused by a lot of things. The most common error in Outlook, as reported by Mac users, is the error code – 3253. This happens when you can’t send out an email on Outlook, but you can still receive emails. You usually get a dialogue box containing, connection to the server failed or connection to the server was dropped.

What is the Cause of Error Code – 3253

What causes error code – 3253? There is no specific reason for this error but rather a combination of several factors, including:

  1. A large number of emails in the sent folder. The client-server communication works more smoothly if there are fewer emails in the folders. You can run Mac repair app to clean up the unnecessary cache and corrupted files on your email folders.
  2. Error in the server settings. If your server is unverified or server information is not correct, this will result in sending and receiving email problems
  3. Incorrect installation of Microsoft Outlook on your computer.

How to Solve Outlook Error Code – 3253

The first step in fixing an error code – 3253 is determining the type of Outlook you have installed on your Mac. It could be a POP3, an IMAP, an Exchange Active Sync (EAS), or an MS Exchange. You can check this information from the account settings of your Outlook. To check:

  1. Go to File.
  2. Click Info.
  3. Click Account Settings.
  4. Check the drop-down list.

The first solution to solving this error is by resetting your cached preferences. You can delete unneeded cache using a 3rd-party tool or you can do it manually. To do this, follow these steps:

  1. Open the Terminal app on your computer. Click the Spotlight search glass in the upper right corner of the screen and type ‘Terminal’.
  2. Once you’re on the Terminal, type “defaults delete com.microsoft.Outlook” (don’t copy the quotes). This command will delete your previous Outlook settings and preferences.
  3. The next step is to kill all the cached preferences by typing “killall cfprefsd” (without quotes) on the Terminal.
  4. Then launch Outlook.

If this doesn’t solve the error, the next solution is to set up a new email account using a new profile on your Outlook. Here is how you create a new profile:

  1. Click Finder and type in Applications.
  2. Look for MS Outlook on the list, then right-click.
  3. Click on Show Package Contents.
  4. Go to Contents, then Shared Support.
  5. Go to Outlook Profile Manager, then double-click on it.
  6. Click the Create a new profile and type in the name of your new profile.

After creating your new profile, the next step is to create your new email account:

  1. In the setup page, select Add Account.
  2. Choose what type of account you want to add, it can be Exchange/Office 365 or Other Email (IMAP/POP).
  3. Enter the necessary information and double-check to make sure there are no errors.
  4. Then, click Add Account.
  5. Under the Tools tab, you can click on the Accounts option if you want to add more email accounts.

If you’re adding an Exchange account, here are the steps you have to follow:

  1. Click Add button in the bottom left corner.
  2. Select Exchange.
  3. Enter the necessary information for your Exchange email account.
  4. Select Configure Automatically, then click on Add account.

For IMAP or POP account:

  1. Click Add and select Other Email option.
  2. Enter necessary account details.
  3. Click Add account.

Once you’ve successfully set up your new email account, you can try sending out an email to check if it’s working.

I use 2 work email accounts and one personal outlook email account in Outlook Client. I have about 20k emails in the Inbox and about 5k emails in the Sent box.

I just upgraded to Big Sur, reinstalled Outlook 365, imported email from archived file and then having the code 3253.
After using your method, I can send email with my new profile. However, there is another problem that the Outlook client do not show email that I imported from archives files (may be because the new profile now become default profile).
I need access to old emails for daily works. Is there anyway that I can open old emails in the new profile?
